Asana: Creating a Project - Access

Access Levels:
There are four different access levels that can be assigned to a user on a Project Board.

Project Admin
- This is the highest level of access on a Project. This person has access to delete the project board.

Editor
- Can add, edit, and delete tasks

Commenter
- Can comment on tasks, but cannot edit anything on the project board

Viewer
- Can view the project board, but cannot comment or edit
How to Update Access:
Access to a Project can be updated at any point.
- In the upper right-hand corner, you should find your user icon and an icon with 3 dots next to a Share button. Click on the icon with 3 dots.

On the pop-up that says Share [Project Name], there are two sections.

The top section is where you will invite people to the Project Board.
- Enter their first and last name in the Invite with Email field.
- Choose their Access Level.
- Click the Invite button.

The bottom section shows that the Project Board is set to Private and who currently has access to the Project.
- To update someone’s access, click on their current access level and choose the new level you want them to have.

The top section is where you will invite people to the Project Board.
Who Should Have Access to the Project:
Access to a Project can be updated at any point.
- During the Initial Setup, you granted access to your Department or Department Division. This should be updated to Viewer or Commenter for access.
- Tasks from a Project Board can be assigned to an individual who does not have access to the entire Project Board.
- If an individual is in a lead position on the project or has a hand in multiple sections, they will most likely need access to the entire project.
